This policy explains what information ClientShift AI handles, why, who helps us process it, and the choices you have. It reflects how our website and tools actually work today.

01Who we are and scope

ClientShift AI, based in California, USA, helps service businesses evaluate and implement AI-enabled revenue recovery: finding where inquiries, follow-ups, and repeat work are being lost, and setting up agreed systems to address them. Privacy questions and requests go to info@clientshiftai.com.

This policy covers the public ClientShift AI website, the free Revenue Leak Audit request form, the private owner workspace used to prepare and administer client agreements and billing, and the client-facing agreement review and billing portal links we send to business clients. It does not replace a signed Master Services Agreement, Order Form, or data processing addendum, which govern data handled while delivering paid services.

02Information we collect

Audit requests. When you request a Revenue Leak Audit we collect your name, work email, business name, industry, website (optional), phone number (optional), the challenge or concern you describe, whether you checked the consent box, and the time the request was submitted.

Private workspace accounts. The billing and agreement workspace is restricted to authorized ClientShift AI personnel. Our authentication service processes account identifiers such as email address, authentication events, and session information. Creating an account does not by itself grant workspace access.

Contract records. When a business client reviews and signs an agreement, we keep records such as the legal names of the parties, signer name, title, and email, typed electronic signatures, signing and approval timestamps, IP address and browser user-agent at signing, document versions, and cryptographic hashes of the approved and signed documents, along with the resulting PDFs.

Billing records. Payments are handled by our payment processor. We store payment-service identifiers (such as customer, checkout, subscription, and invoice IDs), payment and invoice status, amounts, schedule dates, and billing contact details. Card numbers and other full payment-card details are entered with the payment processor and are not stored by this application.

Correspondence. Emails and messages you exchange with us, including notification and agreement emails and replies, and any notes we keep about that correspondence.

Operational and security logs. Our hosting and service providers, and our own server, record technical information such as IP address, browser and device details, request times, pages or endpoints requested, and error details, to operate and secure the service.

Please do not include sensitive personal information (such as health, financial account, or government ID details, or your customers' personal data) in the free-form audit challenge field. It is not needed to prepare an audit.

03How we use information

  • To review your audit request, prepare an illustrative audit, and contact you about it.
  • To prepare, send, record, and store agreements you choose to review and sign, and to keep evidence of what was agreed.
  • To set up and administer payments, invoices, cancellations, and billing notices through our payment processor, as described in a signed agreement.
  • To authenticate authorized personnel and protect the private workspace.
  • To respond to correspondence and provide requested services.
  • To keep the website and tools secure, diagnose problems, and prevent abuse or fraud.
  • To comply with legal obligations, enforce agreements, and establish or defend legal claims.

04AI tools and client-specific vendors

This website does not send your audit request to an AI model. When we deliver paid services, the AI, telephony, messaging, CRM, or other vendors used for a particular client, and any consents those systems require, are identified and governed by that client's signed written scope. We do not make statements here about how any such vendor uses data for model training; those terms are set by the vendor and the signed engagement.

05Service providers we use

We share information with providers only as needed for the purposes below:

  • Hosting, database, file storage, and connectivity providers: operate the website and server, store audit requests, contract and billing records, and generated PDFs, and connect integrated services.
  • Authentication providers: process account email, sign-in events, and session data for authorized personnel.
  • Payment processors: process billing contact details, payment method information you enter with them, and subscription and invoice data.
  • Email delivery providers: process recipient addresses and message content for audit notifications to our team and agreement or billing emails, including attached PDFs.
  • Business email providers: process emails you send to or receive from our clientshiftai.com addresses.
  • Font delivery providers: receive technical information such as your IP address and browser details when your browser requests web fonts.

Provider use remains subject to applicable privacy obligations and contractual protections. Where applicable law or a client agreement requires specific provider or subprocessor disclosures, we provide those disclosures separately. 06Sharing, legal disclosures, and business transfers

We do not sell personal information, and we do not share it with third parties for their own marketing or for cross-context behavioral advertising. We have not installed advertising trackers on this site.

Beyond the providers above, we may disclose information when we reasonably believe it is required by law, legal process, or a government request; to protect the rights, safety, or property of ClientShift AI, clients, or others; or to enforce agreements. If ClientShift AI is involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, subject to confidentiality protections and to the recipient honoring commitments that apply to it.

07Our clients' customer data

When we provide services to a business client, we may process personal information about that business's own customers or leads (for example, call or message records). That business decides why and how that data is used, and we process it on its behalf under our signed agreement, acting as a service provider where applicable law uses that concept. If you are a customer of one of our clients, please direct privacy requests to that business. If we receive your request, we may forward it or assist the business in responding, subject to applicable law and our contracts.

08Cookies and similar technologies

The public site does not use advertising or analytics cookies that we have added. The private workspace and its sign-in provider use cookies or browser storage that are necessary for authentication, security, and session management, and the site may store simple preferences such as display theme in your browser. External font requests occur as described above. Our providers may set technical cookies needed for their services. You can control cookies through your browser settings, although blocking necessary cookies may prevent sign-in.

09Retention

We keep information for as long as reasonably necessary for the purposes described here, considering the nature of the data, whether an engagement or dispute exists, and legal, tax, and accounting obligations. For example, audit requests that do not lead to an engagement are kept while they remain useful for following up and may be deleted on request.

Signed agreements, signature evidence, document hashes, and financial records are intentionally kept as immutable records of what was agreed and paid, and are generally not edited or deleted while they may be needed as legal or financial evidence. Information removed from active systems may remain in backups or provider logs under their applicable retention practices and legal requirements.

10Security

We use reasonable administrative and technical safeguards, such as restricting the private workspace to authorized personnel, token-limited links for client review, and reputable infrastructure providers. No method of storage or transmission is completely secure, and we cannot guarantee absolute security. Please tell us at info@clientshiftai.com if you believe your information has been compromised.

11Cross-border processing

Our providers may process information in the United States and other countries where they or their subprocessors operate, which may have different data protection laws than where you live. Where applicable law requires, we rely on the safeguards those providers offer for such transfers.

12Your choices and rights

You may ask to access, correct, or delete personal information we hold about you, or to receive a copy, by emailing info@clientshiftai.com. We will verify requests in a manner proportionate to the sensitivity of the information, which may include confirming control of the email address involved. We will respond within the time required by applicable law.

California residents. If the California Consumer Privacy Act applies to our processing of your information, you may have rights to know and access the personal information we collect, to correct inaccurate information, to request deletion, to receive it in a portable format, and not to be discriminated against for exercising these rights. You may use an authorized agent where the law allows; we may ask for proof of authorization and verify your identity directly. Deletion rights are subject to legal exceptions, for example where records are needed to complete a transaction, comply with legal obligations, detect security incidents, or establish or defend legal claims, which commonly applies to signed agreements and financial records. Because we do not sell or share personal information for cross-context behavioral advertising, there is no sale opt-out to exercise.

13Business use and children

Our website and services are intended for business use by adults 18 and older. They are not directed to children, and we do not knowingly collect children's personal information. If you believe a child has provided information to us, contact info@clientshiftai.com and we will take appropriate steps.

14Changes to this policy

We may update this policy. Changes apply prospectively from the updated date shown at the top of the page, and where applicable law requires, we will give additional notice of material changes. Updates to this policy do not change a signed agreement. See also our Terms of Service.
